Administrative Assistant - Pastoral Administrative Assistant - Operations

Administrative Assistant: Pastoral

The mission of Grace Point Church is to make disciples of Jesus that live in community for the community.

PURPOSE OF POSITION

The Pastoral Administrative Assistant will serve as an administrative and personal assistant, aiding the pastors in the carrying out of their leadership and pastoral duties. They will seek to use their personal gifts and technical skills for the benefit of the church by contributing to the Pastor's effectiveness and efficiency.

QUALIFICATIONS

  • Is an active covenant partner or becomes a covenant partner of Grace Point Church within 30 days.
  • Fulfill the character qualifications of a deacon as taught in the Scriptures.
  • Flexibility and ability to anticipate and excel in rapidly changing environment with frequent adjustment of job duties.
  • Previous experience working as an executive assistant or personal assistant.
  • Humble, desire to continually improve, and passion to honor Jesus in the ministry that is created.
  • Discretion, perseverance, patience and sense of humor; team spirit and genuine caring.
  • High School Diploma, Bachelor’s degree preferred.

KNOWLEDGE/SKILLS/ABILITIES

  • An ability to gain expertise on practices and procedures that sustain ministry. A wide degree of creativity and latitude is expected.
  • Ability to manage multiple projects and work assignments with little supervision.
  • Highly organized and attention to details.
  • Ability to take direction from leadership and implement it.
  • Must possess the following skills: organizational, strategic planning, verbal and written communication, research, technical and creative writing, interpersonal skills, multitasking, and project management.
  • Ability to handle sensitive issues, maintain confidentiality & trust regarding church and member information.
  • Demonstrated ability to work with & maintain positive, loyal relationships with others in & outside the church.
  • Must possess the desire to aid the pastors in fulfilling their responsibilities and lighten their load whenever possible.
  • Familiar with Macintosh products such as Pages, Keynote, Numbers, etc.

DUTIES & RESPONSIBILITIES

  • Setup and maintain filing systems as needed to ensure easy access to important information.
  • Serves as gatekeeper to the pastors, while ensuring people are helped/served in a friendly and Christ centered manner.
  • Takes initiative for new and special projects, as requested by the pastors.
  • Calendar – manage appointment scheduling through Ical and Google Calendars.
  • Communication – Consistently represent pastors by responding to emails, voicemails, and regular mail in a timely, professional and courteous manner.
  • Travel Planning- book travel and keep track of schedule and itineraries.
  • Event Planning – coordinate various events for pastors including meetings, classes, and conferences.
  • Provide a continued voice of Grace Point Church through social media.
  • Perform any other duties assigned as needed.

Schedule: Sunday - Thursday plus some evening responsibilities

Position: Salaried, Exempt

Administrative Assistant: Operations

PURPOSE OF POSITION

The purpose of the Operations Administrative Assistant is to organize information, input data, manage operational logistics, provide exceptional guest service, and communicate information relating to the church calendar and building usage.

QUALIFICATIONS

  • Is an active covenant partner or becomes a covenant partner of Grace Point Church within 30 days.
  • Fulfills the character qualifications of a deacon as taught in the Scriptures.
  • Committed to growing in relationship with the Lord by reading and prayer.
  • Has previous professional experience working in a similar position.
  • Displays strong leadership characteristics.
  • Discretion, perseverance, patience and sense of humor; team spirit and genuine caring.
  • High school diploma, Bachelor’s degree preferred.

KNOWLEDGE/SKILLS/ABILITIES

  • Must have a working knowledge using a Mac and PC computer.
  • Proficient in MS Office and Apple equivalent programs, with strong knowledge working with spreadsheets.
  • Internet proficient including Google email and Google Drive.
  • Experience working with QuickBooks, Mailchimp, and Church Community Builder (CCB).
  • Requires strong communication skills, both verbal and written, and organizational skills, both analytical and problem solving.
  • Must be flexible and able to anticipate the needs of operational team leaders.
  • Able to establish priorities and meet deadlines.
  • Can handle sensitive information with the highest degree of integrity and confidentiality.
  • Experience in a human resources department a plus.

DUTIES & RESPONSIBILITIES

  • Answer and screen phone calls and emails for Operations Team leaders.
  • Schedules appointments and manages Operations calendar.
  • Bookkeeping and data entry.
  • Organizes files and records, make photocopies.
  • Prepare reports and financial data.
  • Assist in resolving any administrative problems.
  • Create various spreadsheets, letters, and correspondences.
  • Overseer of church management program Church Community Builder.
  • Recruit, train, schedule and lead admin volunteer team.
  • Book travel arrangements and keep track of itineraries.
  • Perform monthly inventory of supplies and assets.
  • Order/pickup necessary supplies for office & Sunday Operation Teams.
  • Attend meetings and take notes.
  • Show facilities to potential leasing parties.
  • Assist Sunday Operation Teams as needed.

Schedule: Sunday through Thursday

Position: Salaried, Exempt
